    Production Project Coordinator

    We are seeking a Project Coordinator who is articulate, highly organised and ready to hit the ground running.

    The Project Coordinator will work closely with the Producers, Project Managers and Production Account Directors.   Senior Project Coordinators and Interns are also part of the House. The role will include client and stakeholder liaison as well as providing support to the innovision team. There is a strong emphasis on excellent administration; note taking, reporting and group diary management.

    House Overview

    The Production House is central to our customer experience and building and maintaining excellent client relationships. Our team of Project Directors, Producers, Creative Producers and Project Coordinators provide dedicated leadership and management of our projects and events. The Production House continues to grow as we invite in the best available talent and the value this brings.

    The Production House are responsible for the excellence in our event & live communications delivery, having an overview of the entire project and managing the end to end process for our clients. Every cog that plays a part in this process is managed, oiled and maintained by the Production House. In order to maintain this consistent and flawless delivery they are supported by the Technical, Logistics, Creative, Digital, Finance and Operations Houses. The Production House also work and manage responses to the lead generation from our Sales & Marketing House – both in terms of business development and new business opportunities, covering the entire remit from tenders and briefs through to procurement and pitching.

    There are currently 30 members of the Production House, supported by a trusted team of innovision associates as required.

    Responsibilities

    • To act as the communications hub for the project team, communicating with stakeholders: innovision team, client and suppliers
    • Co-ordinating diaries
    • Monitoring, contributing to and inputting information to schedules and budgets
    • Working with the Project leads to identify and to mitigate any stakeholder concerns and risks
    • Confidently liaise and co-ordinate with clients, suppliers and stakeholders, supported by Project leads
    • Understanding and experience of event delivery from both a production and technical perspective
    • Preparing for and contributing to client meetings including agenda setting
    • Taking minutes at client meetings and writing and distributing contact reports
    • Keeping the Information Management System up to date (data entry post event)
    • Document management and filing
    • Undertaking research and development of project elements as identified
    • Responsibility for elements of the Project budget as identified
    • On site responsibilities for designated areas of the project/ event
    • Working across multiple projects with multiple clients at the same time
    • Company finance responsibilities including procurement Paprika entry, timesheets, credit card reconciliation
    • Champion sustainability
    • Adhere to company processes and templates in line with our Quality Management System
    •Present a professional image at all times, both in the Studio, onsite and at stakeholder meetings

    About you

    The successful applicant will have experience in the role of Project Coordinator or similar and will be ready to undertake this level of responsibility and take on new challenges.  Ideally you will have experience of working in an agency. With a genuine passion for events and conferences you will not be fazed by the complexities of working with numerous clients, stakeholders and suppliers at the same time.

    • 3 years’ experience in a similar role
    • 2 years’ event agency experience (preferred but not essential)
    • To be proficient in all software packages used within office (Excel, Word, PowerPoint, Outlook)
    • Full clean driving licence (preferred but not essential)
    • UK National or relevant permissions to work in the UK

    We are looking for a passionate, motivated and highly organised Project Manager with experience of working in the corporate events industry and within an agency.

    As a Project Manager at innovision, you will work closely with not only colleagues within the Production House, but across the agency with numerous individuals in the Technical, Creative, Digital and Logistics Houses.     • Briefing, managing and guiding the extended innovision team to deliver against client objectives
    • Project financial management, ensuring events are delivered on time and in budget.
    • Scheduling and resourcing all elements including milestone setting, critical paths
    • Developing strong relationships with clients and stakeholders and ensuring that a client service culture is prevalent in everything we do
    • Providing advice and guidance to help our client achieve the best possible outcomes and a great return on their investment
    • Leading the client on the journey from their objectives to their success underpinning this with a results-oriented approach
    • Familiarity with KPI setting and reporting
    • Ensuring excellent customer service and quality delivery putting the customer at the heart of every event we manage
    • Stakeholder management across a complex and multi-layered stakeholder landscape
    • Supplier management including relationship building, briefing and negotiation
    • Working closely with the Creative and Digital Houses to add value and exceed creative expectation

    Technical Production Manager

    We are currently looking for a Technical Production Manager to join the Technical Team. You will be working closely with the Production House and reporting directly to the Head of Technical.

    We are currently looking for a Technical Production Manager to join the in-house technical team.  You will be working closely with the Production House and reporting directly to our Technical Director and will be expected to assist in mentoring Junior Technical Production Managers and any interns within the department.

    The Technical House plays a vital role in the delivery of our events, pioneering new technologies and innovations to deliver onsite technical production.  Our team of Technical Directors, Managers, Coordinators and CAD Draftsmen work closely with the Production, Creative, Logistics & Digital Houses to develop the event specification from a technical perspective including but not limited to lighting, sound, AV, staging, IT, and construction.  With the range of indoor and outdoor events at innovision, the Technical House comprises a group of individuals with a diverse range of skills and experience in executing projects in a safe, skilful and creative manner.

    Responsibilities

    • Being a point of technical expertise for both clients and internal staff
    • Responsible for technical production across all events with a range of budgets
    • Managing the CAPEX asset used within the government projects
    • Hands-on production management of events through a flexible approach to maintain quality of delivery whilst protecting margin
    • Overseeing the scheduling of all technical aspects of projects, both during pre-production and on-site
    • Responsible for pricing, budgeting and negotiating on aspects of the technical production budget
    • Ensuring your projects are to budget and agreed timescales are achieved
    • Being involved in project kick-off and brainstorm meetings
    • Taking briefs from internal staff in order to establish the information you need to pull together the technical production budget.
    • Prepare technical responses to tenders and pitches
    • Liaising with the Account Team to help them manage client expectations effectively
    • Liaising with the Creative House in how to design impressive productions cleverly to remain well within budget
    • Working on projects of all sizes and budgets as required
    • Developing/maintaining relationships with preferred suppliers and potential new suppliers to improve capabilities
    • Developing projects scope of works / alongside creatives and PM’s
    • Building credibility and maintaining strong relationships with all freelance crew and building a great depth of preferred crew
    • Briefing and overseeing environmental design and installations (stage sets, exhibition stands, etc.)
    • Awareness of latest Health & Safety guidelines and Risk Assessment issues
    • Providing advice and assisting the team in mentoring and developing more junior members of the Technical House
    • Thorough understanding and knowledge of (new) technical solutions on the market
    • Work across multiple projects with multiple clients at the same time.

    Candidates must have strong event production experience within an agency environment with a minimum of 8 years within the technical events industry, with the added experience of both in and outdoor productions.  Candidates with real drive, ambition and commitment and desire to progress have an opportunity to develop quickly.

    • 6+ years’ event agency experience within a technical / production manager role

    • Formal H&S qualifications preferred but not required

    • Proficient operational knowledge of AutoCAD

    Event Producer

    We are looking for an experienced Event Producer for a client-facing role to work across a number of our key accounts and projects.

    Everyone in the agency is expected to have great relationships with our clients; you would be working very closely with these client teams and with new clients, as well as with the innovision Production, Technical, Logistics, Strategic, Creative and Digital Houses.

    We are looking for someone who understands how to take our clients’ ambitions and messages and turn them into compelling and unforgettable live experiences. On a practical level, the successful candidate should be skilled at leading and inspiring the internal teams and clients; and should be knowledgeable about the technologies employed to share and broadcast content.

    We are looking for someone who has proven experience delivering a range of event formats from traditional style corporate events and conferences, to brand launches and experiential events. Experience of delivering outdoors events would be a distinct advantage.

    There is an expectation that you will be an experienced Producer in its traditional sense with an eye on excellent 360 delivery, but will also understand and be passionate about the customer experience through the complete cycle of engagement: experiential communications, hand-in-hand with digital and mobile.
